Job description

The Educational Technology and Operations Intern internship is a great opportunity to learn about how digital tools are revolutionizing the publishing industry. By joining a growing company, the intern will see how our Educational Technology and Operations teams support the Sales Team and the Bids & Adoptions Team. This role involves a lot of customer support and learning specific software to support users and deliver products and services.


The Educational Technology and Operations Intern will work closely with the Vice President of Operations and the Educational Technology Manager to learn about providing high-quality customer service. They will also work with the Operations and Educational Technology teams to help ensure effective execution of internal processes related to supplying materials to customers of Klett World Languages. Throughout the internship, they will gain an in-depth understanding of supply chain processes related to print and digital products as well as proficiency in various LMS and ERP systems. The position requires a team member who has the ability to adapt quickly and work efficiently. The ideal candidate is a self-motivated and flexible team player, who embraces a challenging, yet supportive environment.

Responsibilities
Operations
  • Learn about and analyze the company’s operational processes and propose improvements.
  • Analyze revenues and expenses and monitor the organization’s compliance with budgets.
  • Analyze sales results and assist with preparation of monthly reports.
  • Monitor inventory of print and digital materials and assist with the replenishment process.
  • Collaborate with the Operations and Educational Technology teams to ensure correct and functional product setup in the ecommerce systems.
  • Process sales orders in the ERP system.
  • Collaborate with the Operations, Educational Technology, and Sales teams to coordinate timely fulfillment of orders for digital materials.
  • Provide frontline customer service and assist customers with questions related to pricing, order processing, and shipments.
  • Assist with management of customer service inboxes.
  • Assist with managing and updating the company’s customer and product databases.
Educational Technology
  • Configure the platform integrations for rostering, single sign-on (SSO) and LMS systems to finalize the onboarding process
  • Propose improvements to functionality, security, accessibility of our digital platform
  • Coordinate with the Educational Technology Manager and our external partners (developers, product managers, etc.) to address highly complex support requests
  • Fulfill orders for digital materials in collaboration with the Educational Technology and Operations team
  • Provide customized licensing solutions to large K-12 school districts and colleges
  • Monitor and resolve customer inquiries related to access and usability of digital materials, escalating as needed
  • Analyze platform usage data and export custom reports (standards mastery) to districts upon request
  • Work with the Educational Technology Team to design resources for customers related to access and use of digital materials
  • Maintain a record of digital license codes generated by KWL team
Qualifications, knowledge, and skills
  • Authorization to work in the US
  • BA/BS (completed or in progress) preferably in Spanish, French, German and/or Italian, Education or Business
  • Excellent written and oral communication skills in English and preferably Spanish, French, German and/or Italian
  • Self-motivated with entrepreneurial spirit
  • Excellent analytical, organizational, and creative problem-solving skills
  • Ability to work independently when given a task
  • Well-developed time management and prioritization skills, with the ability to handle multiple tasks with different priorities, and independently manage timelines and deadlines
  • Tech-savvy and familiar with Google Workspace, Microsoft Suite, etc. and comfortable learning new software systems as needs arise
Learning Objectives:
  • Learn about software used in businesses, including ERP and CRM solutions.
  • Gain an understanding of day-to-day supply chain operations.
  • Learn to apply accounting principles to day-to-day bookkeeping and end-of-month reporting.
  • Learn several softwares that educational institutions are using to support students, teachers, parents, etc.
  • Learn how to communicate with and support teachers, district admins, and IT personnel
  • Learn several concepts related to generating and selling digital licenses
  • Get exposed to the Bids & Adoptions process and concepts related to winning contracts
  • Learn modern pedagogical trends specifically when it comes to Second-language acquisition (SLA)
Qualifications, knowledge, and skills
  • Authorization to work in the US
  • A bachelor’s degree completed or in progress
  • Excellent analytical, organizational, and creative problem-solving skills
  • Demonstrated experience in finance or supply chain operations
  • Proficiency in Google Workspace and Microsoft Office
  • Excellent academic record
  • Ability to work independently and bring assigned projects to completion
  • Experience with LMS systems and other teaching software, preferably as a teacher, instructor, or TA
  • Proficiency in Spanish strongly preferred
